For most Indian small businesses, WhatsApp is where sales happen: enquiries, prices, photos, payment confirmations and complaints. It also becomes a mess quickly. This guide shows what you can automate for free in the WhatsApp Business app, when it makes sense to go further and the rules that keep you from being blocked.

Level 1: The free WhatsApp Business app

Install WhatsApp Business (a separate app from normal WhatsApp) with your business number. It includes:

  • Business profile: name, category, address, hours, email and website.
  • Greeting message: sent automatically to new customers or after a period of silence, so no one is left waiting.
  • Away message: tells people when you will reply outside working hours.
  • Quick replies: save answers to common questions (price list, address, delivery time, payment details) and send them by typing a shortcut such as /price.
  • Labels: tag chats as New, Awaiting payment, Paid, Follow up, so nothing is forgotten.
  • Catalogue: show products or services with photos, prices and descriptions inside WhatsApp.
  • Click-to-chat links and QR codes: let customers start a chat from your website, Instagram bio, bill or shop. The WhatsApp Business app can create the link and a QR code for you.
  • Broadcast lists: send one message to many people, but only to those who saved your number, and only if they expect to hear from you.

Features change from time to time, so check what your version of the app offers.

A simple set of flows to set up this week

  1. Greeting: "Hi! Thanks for contacting [Name]. We reply within [time]. Tell us what you need, or type: 1 for prices, 2 for timings."
  2. Quick replies: price list, address with map link, delivery areas, payment (UPI) details, return policy, "thank you" and "we will confirm shortly".
  3. Labels: New โ†’ Quoted โ†’ Awaiting payment โ†’ Paid โ†’ Delivered โ†’ Follow up.
  4. Away message: "We're away until 10 am. We'll reply first thing."
  5. Review request: after delivery, a quick reply with your Google review link.
  6. Follow-up routine: every evening, open the "Quoted" and "Follow up" labels and send a polite nudge.

This alone replaces hours of retyping.

Level 2: Connect WhatsApp to forms and sheets

You can capture enquiries from a website form into a spreadsheet and get a WhatsApp or email alert, with an instant acknowledgement. This is a small automation, not a chatbot, and it prevents lost leads. See business automation ideas.

Level 3: The WhatsApp Business Platform (API)

If you have many customers, need several agents on one number or want automated chatbot replies, WhatsApp offers a business platform through approved providers. Things to know:

  • It uses approved message templates for messages you start, and customers must have opted in.
  • Providers charge for the service, and WhatsApp has its own per-conversation or per-message pricing, which changes. Ask each provider for the current total cost.
  • A chatbot should answer only from information you approve and hand over to a person when unsure. See AI chatbots for small business.

Rules that keep your number safe

  • Get opt-in. Message people who asked to hear from you.
  • No mass cold messaging. Repeated unsolicited messages get you reported and blocked.
  • Make it easy to stop: "Reply STOP to unsubscribe".
  • Do not share customers' numbers or private details.
  • Be honest: say who you are and what you are offering.
  • Read WhatsApp's current business policies.

What not to automate

  • Anything where a wrong answer is costly: refunds, medical, legal or safety advice.
  • Complaints. Reply as a person.
  • Personal conversations with loyal customers.

Want this set up properly?

We help small businesses set up WhatsApp catalogues, quick replies, enquiry forms that save leads to a sheet and, where it makes sense, an AI assistant with a human handoff. We agree a written scope and price before any paid work. See hire a developer or our chatbot development page.

Common questions

Is WhatsApp Business free?

The WhatsApp Business app is free to download and use. The Business Platform (API) works through providers and has costs.

Can I send bulk messages on WhatsApp?

Broadcast lists reach only people who saved your number. Large-scale messaging needs the Business Platform, approved templates and opt-in. Spamming gets numbers blocked.

Can I use a chatbot on WhatsApp?

Yes, through the Business Platform with a provider, or simpler auto-replies in the app. Keep the bot honest and always provide a way to reach a person.

Can two people use one WhatsApp Business number?

The app supports linked devices, and the platform supports multiple agents. Check what your plan allows.

How do I stop customers messaging at night?

Use the away message to set expectations, and mention your hours in your profile.
